Frequently Asked Questions
We compiled an FAQ list with questions we have been asked over the years! Please go through them, and if you have other questions, don't hesitate to contact us.
A visitor / guest..
- is someone who is meeting a Collabüro member for a maximum of 2 hours.
- must be registered as a guest upon arrival using the tablet at reception, or in advance (from Nexudus Passport App or under “My Account” online).
- must be accompanied by the Collabüro member at all time.
- is welcome to have a limit of 1 drink per person at no charge. We ask you to make sure any garbage is disposed off and recycled correctly.
- A Collabüro member can have up to 2 guests at the same time.
- is someone staying longer than 2 hours.
- needs to purchase a day pass.
- A member can buy discounted day passes for others (this can be done online from My Account or Nexudus Passport App).
- If a room is booked, then you can have as many guests as the room allows (ex. the small meeting room allows 4 people max, and the large room allows 40 people max).
- The two parking spots in front of Collabüro are reserved for mail pickup, deliveries, event organizers, catering, service vehicles, tours as well as your client's parking for a max of 2 hours.
- After 5pm, it is considered a first-come-first-serve to anyone coming into Collabüro, unless otherwise specified.
- If they are just dropping in to say hello - yes of course! Please follow the visitor/guest rule in the first FAQ above.
- If they are staying with you for a lengthy period - no, unless you buy them a day pass. We do ask you to try to minimize disturbances to other coworkers.
- We ask that you and guests are considerate of your noise level, as others may be working nearby.
- Anywhere available on the main level and lounge area downstairs (with the exception of the 6 desks on the elevated level as they are reserved for the Dedicated Buro members).
- The Large Room in the lower level can be used too as long as it is not reserved (reservation times are usually posted on the door). We ask that you do not close the door fully or partially to allow other coworkers to use the room as well.
- Desk - You can take it from your desk if you have a headset. We ask you to be considerate with your voice to not disturb others. A good trick is to keep the volume of your computer at 30% or less, otherwise you speak louder if the volume is higher. If you are sitting on a soft seating, then try to not speak directly toward other coworkers. Please make an effort to avoid speaking directly towards your fellow coworkers when possible
- Phone booth - You can use the phone booth. Currently it is on a first-come-first-serve basis, but please limit meetings inside to 2 hours maximum.
- Lounge Area - Another space for taking a call.
- Meeting Room - If a meeting room is not booked, you can jump in there for a quick phone call, but priority is always for the person that booked the room. Please use the room only for the duration of the call, and we do ask that you return it to its original state (as staff may think the room is ready for an upcoming meeting without realizing that it has been used and therefore requires re-sanitizing and organizing).
- Simply No. A speakerphone tends to be more distracting to others compared to a person-to-person conversation. To ensure a pleasant working environment where everyone can concentrate, we kindly request that you utilize a headset instead when making calls, listening to music or watching a video.
- Yes of course! We just ask you to be mindful of other people using the space and keep the volume of the conversation down.
- Yes please! We do have cleaning staff that comes in a few times / week, but we do ask that you wash what you use and leave it on the dryer section on the right side of the sink.
- Yes, you can leave your belongings on your table for the 1-2 hours you are out for. We do ask you to keep your laptop on silent and take your phone so it does not ring and disturb others. However, if you plan to stay out longer, we kindly ask you to take all your belongings with you.
- If we are setting up for an event and your stuff is in the way, then we may pack it up for you and leave it at reception.
- We understand that sometimes you just need to doze off and take a quick nap, and that is ok! We ask that you do this in the lounge area or meditation room, and keep the nap relatively quick! :)
- Short answer - no, tables, planters and sound panels should remain in their spots. Please ask a staff member for permission if you really need to move something.
- You can move a chair or something small but please return it to its original place once done.
- Yes, you can use the downstairs fridge for your food, but please make sure it does not stay too long. We throw out anything that’s been there for a long time. We also empty the fridge at 5pm on Fridays.
- Honestly, anything goes, but please refrain from microwaving food that leaves a lingering smell in the lounge area that may discomfort others, such as fish or popcorn. Please open the kitchenette's window if needed, but remember to close it after a while! 🙂
- In the Main Hall and Large Room, you can eat at your desk any food that does not have a strong smell. Food such as snacks, fruits, cold sandwiches, and drinks are all fine. For any other type of food, please use the downstairs kitchen or Lounge Area.
- If you have indoor shoes, please use them and leave your outdoor shoes on the boot tray.
- You can use a pair of our blue/orange slippers (marked “Collaburo”) near the elevator. If no slippers remain, we have slip-ons to put on your socks/shoes.
- The lights will turn off by themselves (except for the small meeting room). We do ask that you make sure both front doors are fully closed. At times when there are strong winds, the doors may remain slightly open.
- Since our system starts and ends the day at 12am, there will be approximately 5 mins interruption to the Wi-Fi at 12am exactly. Please stretch your legs for a bit until you’re able to connect again..
- Let a staff member know, if it’s after hours, please call/message Mohammad at 613-261-5225.
- We leave some background music on at all times to add a little ambience and mask the sound of other coworkers. If you want to increase/decrease the music volume, then please let a staff member know.
- Yes, the shower is for members to use. You do have to bring in your own soap, shampoo and towel. Please make sure to take all your belongings from the washroom once you’re done.
- Sorry, but pets are not allowed, except for service animals, as they are allowed by law.
